Jobber and QuickBooks Online Sync Tips and Tricks

foreign,Smith I am a QuickBooks expert and I am joined by  Christine Hodge jobber expert and CEO of Clearview  ,Washington welcome Christine thank you thanks for  having me excited to be here this is a follow-up  ,video to a video that we posted a couple months  ago on the jobber and QuickBooks Online sync and  ,there's been a lot of text and comments in that  video about okay we've done it but now we need a  ,little bit of help on some of the technical what  we're going to specifically do is we're going to  ,follow and go through this article how items  sync between jobber and QuickBooks Online this  ,is a jobber article that they published and they  produced and it's very good and it walks people  ,through step by step a lot of the what you need to  do and but what we're going to do is we're going  ,to talk about some particulars in this article  and add some additional commentary to maybe help  ,people understand a little bit more about the  sink especially some of the gotchas and problems  ,and Christine is going to provide a lot more  commentary because she's living it day in and day  ,out so as we come down this article we're going  to stop and we're going to say okay syncing is  ,triggered manually and we just want to again  provide additional commentary Christine what  ,is your scheduling habits and how does it work  for you so basically my process is that I run  ,a manual sync every morning um and the reason I  do this in the morning is because every morning  ,I Mark all the checks or all the invoices paid  that we had received from the prior day and the  ,prior day's mail I also run the credit cards that  we have on file so all payments for the previous  ,day are taken in the morning essentially marked  in jobber and then I run a sync and that way I  ,know that when I refer to my Quickbooks at any  point that day which I do often I know that it  ,has the most up-to-date information from java  so I actually appreciate the fact that um the  ,sync is manual because I have control of knowing  when the sink took place and what information made  ,it over now you have a pretty good size file but  how long does the sync typically take for you it  ,berries if there's a lot to update it can take  about you know 10 to 15 minutes but on a normal  ,day I would say about five minutes or less okay  I'm going to create an email all admins of job or  ,get an email once the sync is completed so you can  continue working in jobber as the sync is taking  ,place and you will get a notification okay the  next paragraph does mention down here it says you  ,can check out the QuickBooks Online sync error  messages article to learn how to resolve them  ,and there is a whole article we could do a whole  video on sync error messages but maybe you could  ,just talk about the top three error messages  because not all errors are equal absolutely so  ,um the error log used to be very long until we  learned how to work through them I don't even  ,honestly think there's

Hi, this is Jason from the QuickBooks team.,With QuickBooks Online Advanced and Spreadsheet Sync,,you can access your company's info in Excel,to build your own reports, measure your business's,performance, and edit or record transactions and other data.,Let's look at how to connect,Spreadsheet Sync to your QuickBooks company.,Download and install Spreadsheet Sync and,access reports and transactions in Excel.,First, select the Settings menu,and Select Spreadsheet Sync.,Here you see a brief summary of how to,install spreadsheetsync and connect it to your company's info.,Select let's go.,Excel opens a file with,the Spreadsheet Sync addon installed.,Select the option to trust the Spreadsheet Sync add,on, then enter your QuickBooks user ID and password.,To sign in.,Choose the QuickBooks company you want to,connect to spreadsheetsync and confirm your selection.,Note that you only have,to perform this installation once.,After you've installed Spreadsheet Sync to Excel, you,can access your company's info from the Spreadsheet,Sync tab whenever you use Excel.,Even though you're signed in, you won't see,any info from your company at first.,Let's get started.,Select Build a Report to retrieve data from,your company and run a report in Excel.,Next, Select My QuickBooks Data to bring in a,report or data table from your company's QuickBooks account.,Select the company or group of companies you want to run,a report for, then Select Data Source to choose a report,or data table you want to view in Excel.,Select an option in the Data Tables tab to look,up details on specific transactions or contacts, or select a,report with the info you want in Excel.,Let's look at a profit and loss statement. ,Select Data to get and choose parameters for your report.,Let's run the report on the accrual basis for this,fiscal year and open the report in the current sheet.,Spreadsheet Sync lets you know,when it's built the report.,Select Done.,Now that the report is in Excel, you can,work with it like any other sheet in Excel.,Select the different tab and you can insert,graphs, build pivot tables to orient your data,in different ways, and add formulas.,In addition to reports, you can also,edit your QuickBooks data in Excel.,Go back to the Spreadsheet Sync,tab and select Manage Records.,Then choose the type of data you,want to access or post to QuickBooks.,Let's work with Invoices and Bills.,If you want to record something new and,post it to QuickBooks, enter it here.,Select the company you want to work in,and when you're finished, Select post to QuickBooks.,If you want to edit something,already in QuickBooks toggle on,bring in existing records from QuickBooks, choose a,date range for the data you want, or,filter the list entries you want to edit.,Let's bring the records into the current sheet.,Now you have all of the selected entries in Excel.,Record the changes you want to send to QuickBooks and,enter yes, in the post column for those transactions then,when you're done select post t

hi this is jason from the quickbooks,team with quickbooks online advanced and,spreadsheet sync you can use excel to,build reports from your quickbooks data,combine reports from multiple companies,edit or record transactions and update,your company's info let's learn how to,use spreadsheet sync to combine reports,from multiple companies record new,transactions and update info about your,vendors and customers in excel,to use spreadsheet sync you'll need to,install and allow excel to access your,quickbooks info watch this video to,learn how to do that,to start run excel,and select launch add-in,then select the spreadsheet sync tab,you can use spreadsheet sync to build,reports for a single company or combine,the data from multiple companies into a,single report,to start make sure you've connected your,companies and created groups for the,reports you want to run,select company settings this is where,you add companies,and if you've added multiple companies,you can combine them to create company,groups,select company group,give the group a name,and select the companies you want to put,into the group,you'll still be able to run reports for,them individually,then select the currency you want your,reports in,and select save,after you've set up your companies and,groups select build reports to retrieve,data from your companies and run a,quickbooks report in excel,select the company or group of companies,you want to run a report for,then select the report or data tables,you want to see note that your report,options for individual companies might,be different than for company groups,let's run a profit and loss,select data to get,run the report for this year to date on,the accrual basis,and open the report in the current sheet,now that the report is in excel you can,insert graphs build pivot tables and add,formulas just like any other sheet in,excel once you build a report that you,like save it,later you can open the excel workbook,you saved and select refresh,this brings in any new data from your,quickbooks companies without having to,rebuild your report,there are some advanced templates with,pivot tables and other tools already,built in select get started,advanced template,and choose the template you want excel,to use when it builds your report in,addition to reports you can also enter,new transactions and edit your,quickbooks data in excel select manage,records,let's enter some new invoices select the,invoices and bills template you'll see,some directions and notes in the first,worksheet,select the invoices and bills template,tab,then select the company you want to,enter data for,excel displays a column for each field,you'd normally see on an invoice bill or,credit memo in quickbooks,fill in each field,select the data from drop down menus in,each cell or if you've already prepared,the transactions in a different excel,spreadsheet copy it and paste it into,the sheet,if you're pasting in data from a,different spreadsheet make sure the,columns are in the same

thank you for joining me,for a tutorial on how to sync job nimbus,with quickbooks online,first i'd like to start with what fields,sync between,job nimbus and quickbooks what's going,to go through for you,are going to be the contacts including,all the contact information those will,sync,into quickbooks as a new customer,if you have jobs enabled in job nimbus,those will sync,into your quickbooks as a sub customer,we'll take with it phone numbers,addresses etc it will sync estimates,invoices credit memos and payments,on the summer side only it'll sync,products and services,and bring those across and any tax rates,that you have set up in quickbooks will,come into job nimbus,those do have to be set up in quickbooks,ahead of time,what doesn't sync to quickbooks online,it's going to be,the vendors the contact information,won't go through,it won't sync expenses or bills on those,vendors,we cannot sync anything from projects if,you have information currently sitting,on a project,job numbers will not be able to import,those nor anything on a,third tier that would be a sub-customer,of a sub-customer,or beyond we can only sync the customer,and sub,customer if you are using sub customers,in quickbooks,you will need to have the jobs feature,enabled in job nimbus in order to import,those sub customers we're not going to,sync any employee information,or bank account information it from job,nimbus we don't sync the budgets work,orders or,material orders we do not sync class,tracking,if that's something you use in,quickbooks nor locations,a job nimbus a single job nimbus account,can only sync to a single quickbooks,online account,so if you are using multiple locations,within job nimbus,we are only able to sync them to a,single quickbooks online,at this time all right,let's get started one thing i want you,to,check first before we ever start the,sync to quickbooks online,are your workflows in job nimbus,this is how job nimbus decides when to,send something to quickbooks,if you do not have jobs enabled you will,only have,contact workflows i'm in the settings,screen right now you're only going to,have contact workflows you won't have,job workflows,let's start with contact workflows,if you're not using jobs you'll likely,have a couple of workflows here,that'll be built out with several,statuses you may have residential and,commercial or whatever those those are,completely customizable,let's go ahead and take a look in the,edit screen,it's the send to quickbooks column that,we want to focus on,if you've got a lead or an estimating,type status here,we want to leave those unchecked for the,send to quickbooks,this is to keep leads out of quickbooks,we don't need them in quickbooks until,we know they're a customer of yours,so we're not going to send those to,quickbooks right away as soon as it hits,that sold whatever your,first sold stage is typically signed,contract,that's the one we want to be able to,trigger that sync to quickbooks,at that time the customer would be,cre

this is jason from the quickbooks team,if you sell products on,etsy you can download your etsy,transactions directly to quickbooks,saving you time so that you don't have,to enter them manually,let's go over how to do that using the,sync with etsy app,and then look at how quickbooks records,your sales and deposits from etsy,before you sync quickbooks with etsy,make sure you've set up the bank account,etsy uses to deposit your sales and the,bank or credit card account,etsy charges when you pay fees if you,don't see them,you can set them up with the new button,or through the banking or transactions,tab,to connect quickbooks to etsy select,apps,and search for sync with etsy,then select get app now you'll need to,give permission to,etsy and quickbooks to share transaction,details,next select the bank account where etsy,deposits your money,and then select the bank or credit card,that etsy uses to charge your fees,last choose how far back you want,quickbooks to go when it downloads,transactions from etsy,be careful with this step because if,you've already recorded some of your,etsy sales,this step could record those same sales,again,so if you've already recorded some etsy,sales set the date to,after your last recorded sale to avoid,duplicates,once you've selected a date select save,the initial sync may take up to three,hours depending on how many transactions,quickbooks needs to download,now let's see how your etsy sales fees,and deposits appear in quickbooks,open the chart of accounts quickbooks,sets up a new account called,etsy and your shop's name in brackets,this is where you'll find all of your,etsy related transactions,you can take a closer look on the,accounts register here you'll see any,fees related to your etsy account as,expenses,and any sales from etsy as sales,receipts,you'll also see transfers to your bank,account and credit card,these transfers represent the actual,deposits from,etsy that you'll see on your bank and,credit card statements,these transactions are the net of the,sales and expenses you see entered,separately,note that etsy doesn't bring in your,historical transfers,for instance if you chose for etsy to,bring in your sales from the beginning,of the year to today,it will bring in your sales and expenses,but,not the transfers from your etsy account,to your bank account,but any transfers that happen after,you've signed up for sync with etsy,will show up here if you download your,transactions from your bank or credit,cards you'll also find the deposits and,charges from etsy,in your banking or transactions tab then,you can match them with the transfers,that etsy already recorded,that way quickbooks doesn't count them,twice on the profit and loss statement,now you're ready to sync your etsy sales,with quickbooks

hi this video will cover QuickBooks,clients click on integrations from the,drop-down choose the information you're,going to be syncing with QuickBooks be,sure to also have there our online guide,pulled up you can find that under,support click on the Learning Center,click on the instructions tab and find,the QuickBooks Online guide scroll down,to the section you're trying to sync in,this case we're on clients so on first,sync of clients you may be presented a,message and button to match clients,click that and that will process the,matches in the modal that pop up if you,do not see a matches option this could,mean that you have a brand-new,QuickBooks account with no client data,in your QuickBooks so proceed through,the steps and this will push anything,that exists in projects 360 for your,clients up to your new QuickBooks,account everything will be automatically,mapped for you if there is records in,your QuickBooks account you will have,the option here to match your clients so,going into projects 360 go ahead and,prepare the client sync does prompt that,we have unmatched clients proceed to,match clients you're going to have your,return list of all your QuickBooks,clients you have a few options here to,ignore your jobs to Auto match to add,match or ignore individually by line,item here per client go ahead and pull,up the guide scroll down to all the,options area for a definition of each,ignoring your jobs this automatically,ignores all of your jobs and sub clients,if you do not wish to match those you,want to generally go ahead and ignore,all your job so run this step first to,ignore all those jobs and that in,QuickBooks Online once you do have your,record pulled up for that client go,ahead and click on edit and a sub,customer is anything that you set up,with your main customer and,choose a parent customer so anything,generally amend sub customer go ahead,and ignore all those records going back,into your projects 360 the next option,you're going to have is to auto match,Auto matches it says here attempts to,match the entire list of clients from,QuickBooks with projects 360 based on,the criteria shown and that's going to,apply across all fields so we look for,an auto match to try to match this,adding this is going to add and match a,new record into projects 360 so,generally this is going to be for any,new items that exists in your QuickBooks,that are not yet in projects 360 so that,could have been maybe they've got missed,in the import for the CSV or you added,those after the fact so any adds here,from QuickBooks you can individually,just click Add per line-item of those,that don't exist and you will not want,to use add until you verify that the,match does not exist and you always want,to check first in projects 360 that the,client name does not exist if you're a,hundred percent sure you can go ahead,and click on add that record if you want,that record in projects 360 and adding,will automatically match that record for,you matching this prompts for t

hey guys this is claudia here from,quickbooks,expert of florida um i've been a,bookkeeper for over 20 years and i,listen to many of my small,small business owners and they have a,lot of questions especially,with apps today we're going to talk,about square up,square and how to synchronize with your,quickbooks,and how to match those transactions in,banking,here we go all right so first we're,gonna go to,the apps on the left-hand side um menu,you're gonna see apps you're gonna go,ahead and click there for me,and we're gonna find square,up oh,my square payroll,okay just there you go where it says,sync with square,go ahead and click there for me,you want to go ahead and get the app now,it is free,and once you get the app you're going to,synchronize,so if you click on it now you're going,to select,to whom you would like to do,and then you're going to login to your,square account as if you log in,directly through their website once you,log in you're going to go through the,process to,link the account and then you when you,are asked if you want,the transact to import the transactions,you want to say yes,unless you don't have any any,transaction to be imported,at this point but most most people do,so if you want to get all the,transactions for 2020,you want to select all transactions from,last year,up to now and and that's that's how you,would,link the account once the account is,linked,then all uh what's going to happen is,that,the square app is going to send all the,transactions,to quickbooks and it's going to show up,as a sales receipt,right here if you want to see the sales,receipt,that's been entered in the system you,click on sales receipts,see the clock over here you want to,click on the clock,and then you can see all the sales,receipt that you have in your system if,you want to see more click,click on view more and you have all the,transactions here,so this is a good way to see if it's,working or not or if there is any,a lot of times the biggest issue with,square,it's going to be a discrepancy square,or any kind of app,especially with square a discrepancy on,the taxes so,if you see that transactions the sales,receipts are not matching,as far as the amount goes uh,on the sales receipt versus what,actually happened in banking,you want to make sure that you verify if,there is a discrepancy with the taxes,taxes is one of the most common errors,make sure that before you set up um,square or before you link square that,you have the,appropriate accounts in in bank in your,in your quickbooks so that it can match,correctly,in banking um so what you can do,you got to go to your products and sale,and you,you want to make sure that you have the,square fee which is one of them,in this case i do have,square fees,square piece but if you don't have you,want to click on new,it's a service account,you want to call square fees and this is,going to be,not a sales account but a an expense,account,okay,and this this case is,bank charges and fees,and then you're gonna sa

hi everyone this is kathy grosskirth,with bookkeeping clean and simple here,in austell georgia near metro atlanta,and today i wanted to touch on really,quick the spreadsheet sync,feature in quickbooks online advanced,and yes you heard me correct this is,only,usable in the advanced subscription,level even if you are a quickbooks,online accountant user which is one of,the major drawbacks of this and i found,this out when i was testing it out,recently i was asked to be a tester,about this now i am in the garcia,consulting file so i am not going to,connect this through this file since,this is not my file to do that with but,i'm going to go through the steps to,show you how to find it you go to the,gear icon here,and click on it and under tools is where,you'll see spreadsheet sync so you would,go ahead and click on that,and then it gives you the menu on what,to do to get started so i'm going to go,ahead and click on this link,and it should go ahead and allow you to,open up excel,which i'm going to go ahead and do here,and then what happens is when you go,over here and i'd already linked it with,another file that i have but let me show,you what what happens when you actually,go ahead and try to,once you've linked it what you can do,you can actually sign in,with your information,because you want to link your id to it,and then what it's going to do is once,you,go ahead and do the you search for a,company or a file and you can do either,one and for instance say like if i,wanted to go in here uh through my,company or firm,and and then and also search for a,client on here,and do kathy's bookkeeping test file,which is the one that i wanted to test,and i click on next see what happens,it says excel connection cannot be,established since this is not a qbo,advanced companies only,so that's one of the main problems that,i have with it is that i have several,firms that are not qbo advanced,subscriptions and i can use it for those,files even for files i'm doing cleanup,on that are not qbo advanced that should,not be the case so i'm providing my,feedback to intuit on this because they,need to make sure that at at least the,firm level you can use this with any,subscription level so anyway that's all,i have for y'all today hopefully this,helps y'all out and if you do decide to,try this out with any advanced companies,that you have go ahead and do that but,please submit your feedback and let them,know that we need as accounted users the,ability to use this across any,quickbooks level subscription anyway,take care and have a wonderful day hope,to see you again really really soon,thank you for watching i would love it,if you would subscribe to my channel and,share it with others,my goal is to publish at least one new,video per week on quickbooks desktop or,online topics the occasional,motivational video and a few surprises,thrown in here and there,i would love to talk to you about how to,help you optimize your knowledge and,usage of quickbooks desktop or online my,cowle

hey everybody it's andrew from honeycart,and in this video i'm going to give you,a demo,on how to sync data over to quickbooks,so um for right now uh you want to first,make sure that,honeycart is linked to quickbooks,properly and then you want to make sure,that,some of your backend settings like your,taxes and your,your items are linked to the proper,equivalents,in your quickbooks account so the first,thing you want to do is,click on settings so that you can just,double check that your quickbooks is,connected,and you want to go to the integration,section and click on quickbooks,and you'll see here that it is,authorized so that means it's connected,you want to make sure that you set all,of these settings here,now the customer display name is,important because this is how,quickbooks knows uh that's how the main,way that they tell your different,customers apart you know like sometimes,um like andrew wu that's me i could come,in with one email address and then next,month come in with another email address,and,you know i'm really the same person but,for the purposes of,uh accounting they need to know who's,separate the two different you know,records so,that's what this is for um i'm going to,leave my display name to be,company and customer name um next thing,is where do you want to deposit the,payments that you get through honeycart,into quickbooks uh which account and so,for this demo i'm just going to use,undeposited funds for credit cards and,use the same thing for cash and for,check,and this is probably a question that you,want to make sure your accountant,is telling you to do um just,from our experience quickbooks the,documentation always,suggests to us to use undeposited funds,so that's what we do,um but always check with your accountant,and uh everything else should be fine,next thing you want to do is go to your,store settings,and this is where you're going to be,linking your item types and your sales,taxes to quickbooks,so first i'm going to do the item tags,just click on that,i have three of them so i'm going to,first start with the food,and i do have a food,product in quickbooks so all this stuff,is being pulled from your quickbooks,right so click on save next,do the same thing for my delivery fee,and you see it says linked when i link,it so,last one here all right and now i want,to go,and do my sales taxes here i only have,one sales tax set up for virginia but,if you operate in several states you're,going to want to do this for each state,so,here i just choose again all the stuff,is being pulled out of my quickbooks,account,click on save just like that and now,that,that's all done you should be ready to,go,and start syncing over your transactions,so when you sync over an order from,honeycart,it's going to create a quickbooks,invoice and along with any payments or,refunds,is going to sync over records to that,and tie it back to the invoice,as far as your customers go they're,going to be synced over to,uh quickbooks and create the quickbooks

How to Link and Sync a QuickBooks Online File with Qvinci

givenchy allows for QuickBooks desktop,files quickbooks online files 0 files,and Excel files to be synced to a key,Vinci dashboard for reporting purposes,the key Vinci administrator assigns,users to perform the syncing process,these users are called contributors a,contributor will log into their q Vinci,account by visiting Q Vinci calm and,clicking the login tab,upon login the contributor will see a,manage tab on the left-hand side if,files are needing to be connected under,their account they will simply click the,manage tab which will appear orange and,then unlinked locations,all locations assigned to a user for,sinking will appear in a list on the,left hand side of the screen the,corresponding options for sinking are,found in the center of the screen let's,explore syncing with QuickBooks Online,the contributor will simply select a,location to sync by clicking on it and,highlighting it then they will migrate,to the QuickBooks option QuickBooks also,allows for syncing by class or location,delineation let's explore syncing just,the whole file to a single queue vinci,location click the connect to quickbooks,button,you,on the following screen you will be,piped to into its servers where you may,login to your QuickBooks Online file use,the administrative login to access your,QuickBooks Online file,upon Simon a list of your files will,appear in the center of the screen if,only one location or one file exists,you'll see one location otherwise a,scroll bar will appear on the right hand,side simply click on the desired,quickbooks online file,and on the following screen you'll be,able to click the authorize button to,allow a connection from the desired,quickbooks online file to the cuban,cheat dashboard,upon clicking authorized you'll be taken,back to your Q Vinci dashboard your file,is currently syncing the sync process,will take about a minute and a half time,in the interim you may sink more,QuickBooks Online files by selecting a,second location to sync,the first you'll notice the first file,that you have synced defaults to the,file tab and there are a couple of,statistics related to your file you may,disconnect your file if you have made it,incorrect selection you may also sync,your file if you need to sink in the,future give your file about a minute and,a half and then check the dashboard page,in the interim select another location,and walk through the steps again chat,with support or email us at support @ q,vinci com or migrate to the help tab to,find our knowledgebase articles
