Introduction to QuickBooks Online

in this video we give new users an overview into the amazing features and capabilities,of quickbooks to help make running your business more effective when you log into quickbooks,the first thing you'll see is your dashboard everything in quickbooks can be accessed from,one of three menus the first menu is the navbar the navbar has historical information about,your business so if you want to find historical transactions this is the place to go for example,if you click on the sales tab quickbooks shows you information about your sales transactions,allowing you to delve into each one individually by clicking on customers you can see more,information about sales to your customers here you can also see a list of your customers,along with their balances of money they owe you by clicking the expenses tab quickbooks,will display all of your expense transactions you can also see a list of who you spent money,with such as products or services by selecting the suppliers tab quickbooks displays the,balance you currently owe with these suppliers you can see information about employees by,clicking the employees tab the report center by clicking on the report tab and more functions,while the nav bar works very well for looking up historical information if you want to enter,a new transaction you need to go to the new menu the new menu contains a list of transactions,that you can enter manually and they're organized by who the transactions are aligned to right,here you can see all of your sales type transactions underneath customers then you have all of,your expense type transactions underneath suppliers employee transactions are shown,here and finally the transaction types that haven't been categorized will be displayed,under other the third menu is accessed via the gear icon up here at the top right this,menu gives you important and powerful options but includes functions that you may not use,regularly right here you can see your account and settings these are very important settings,that determine how it is that quickbooks works for your business allowing you to customize,elements of your account and alter necessary settings you can also reconcile from this,menu reconciling is an important operation that's performed once a month to compare your,records to your bank or credit cards records to make sure that everything in quickbooks,is accurate budgeting is also accessed from this menu budgeting is normally conducted,once a year or when you begin work on a new job so it's not really something that you,are required to work on very often there is one final menu not quite as important as the,other three menus but still very relevant which is the magnifying glass this menu gives,you access to your most recently entered transactions and also you can search for a transaction,either by transaction number date or monetary amount ,so there you have it a quick tour of quickbooks now get started

hey there i'm James you're watching Accounting Stuff,and in this video i'll give you a quick guide to QuickBooks Online,i made a similar one a couple of years ago but QuickBooks Online has changed a bit since then,so let's refresh ourselves,What is QuickBooks Online? QuickBooks Online is a popular cloud accounting software,it's made by an American company called Intuit and it's specifically designed for small businesses,What does QuickBooks Online do? it lets you record, sort and store,all your businesses transactions in one place,So which version of QuickBooks Online is right for you?,if you click on my affiliate link in the description then you'll see three or four options,depending on where you're based simple start, essentials, plus and advanced if you live in the US,you can try these out for free or dive straight in with the discount,and if you clicked the link then you'll be supporting this channel so thank you!,each of these charges you a monthly fee,on the left we have simple start which comes  in the cheapest it's the most basic version  ,of QuickBooks Online and it works well for small  businesses that sell services or digital products  ,you only get one user though if you want more  then you might want to consider essentials instead  ,it gets you three users, time tracking and helps  you manage and pay your bills,if you sell physical products then you'll need QuickBooks Online Plus to handle your inventory,this version also lets you track your profit by project advanced is aimed more towards,medium-sized businesses you're allowed up to 25 users,and you're able to customize access by role you'll also get batch invoicing,,automated workflows and some fancier analytics QuickBooks Online is a cloud-based,accounting software so all of these run in your browser it doesn't matter whether you're using a mac or a pc,and they let you upgrade or downgrade at any time so no stress,What does QuickBooks Online look like?,Like this! welcome to the QuickBooks Online Dashboard,up here we have your company name and logo today we're looking at Craig's Design and Landscaping Services,which is the sample company to the left of me we have the Navbar,with the New Button right at the top this is where we do most of our day-to-day tasks,,run reports stuff like that which we'll get into in a moment,if you don't like the Navbar then you can hide it by clicking on these three lines up here,that will give you some extra space if you need it and in the top right corner we have my experts,,help, search, the notification bell, settings and  a link to your Intuit account,behind me we've got the business overview you can see summaries of your invoices, expenses,,profit and loss, sales and your bank balances to the right this data can be a little sensitive so you can use,the privacy button to hide it from any prying eyes  alrighty then how does QuickBooks Online work?,let's start with these buttons up here if you want to invite your accountant then you can  ,click on th

hello and thanks for taking the time to,watch this video,on navigating best practices with your,quickbooks online whether you're using,the uk version,australia canada global particular,country i think the the one i'm looking,at here is uh,looks at a pesos so either way there's,some good,navigating tips and tricks as you notice,that the menus,it's horizontal as opposed to a typical,vertical right so you might,really be used to let's say for,customers that you want the invoice,right here closer because sometimes if,you go off it,you lose your place right so as you get,used to this there is a way to click,more and rearrange the menu,and you can put invoice as right up at,the customer center and then income list,and you can arrange it maybe receive,payments even above sales receipt,save and i like because it's right close,to the tab,so even if i happen to skip off it's,really easy to get back,so you can rearrange the menus and that,goes for a range of,of them all the all the tabs can be,rearranged,let's go to the chart of accounts for a,second i want to point out another,navigation tip,when you're looking at a list you can,click related reports,and then go to a report that's related,that would make sense from the list,you're on like deleted accounts maybe,client deleted some accounts and i want,to go look at those because when you,delete accounts in qbo they're really,just hidden you're not really deleted,same thing with a customer list or the,center or,your supplier list for example again,related reports it gives you related,activities based on that list,so that might be helpful as well as,you're navigating through quickbooks,online,what i really like is chrome using,quickbooks online for a couple of,reasons first off i can have multiple,tabs here,just by right click duplicating and on,this tab i could have say,a balance sheet and on this tab i could,have say a,profit and loss and i could peel off the,tab and put it on another monitor,not something you do with the desktop,version of quickbooks,so keep in mind that you get as many,tabs as you want going across for,different windows it's kind of like your,open window list,open tab list if you will now chrome is,also nice as well because i can,open up another window i can create,users you see my users here,got a couple here and you create them in,settings if you go to the right and,click on the,parallel lines here for settings for,chrome,when you go to settings there's users,that you can set up,and let's say you're an accountant or,consultant or you're just someone who,has quickbooks online but you have more,than one quickbooks online,company file and you want to use them,open up open them up both in chrome but,if i do it within the one browser it's,going to tell me i'm already,signed into a company i can only be,signed into one at a time within this,web browser,so what i can do is go to chrome and,open a new window,choose a different user,and then i can go to you know go ahead,and sign into,quickbooks

How to set up and use projects in QuickBooks Online

hi this is mark from the quickbooks team,if you have quickbooks online plus or,advanced you can use projects to track,income material costs and labor expenses,for specific projects,let's go over how to set up projects in,quickbooks and then how to assign income,and costs to a project we'll also cover,how to add labor costs to your project,both for companies that use quickbooks,online payroll and those who don't,to start go to projects,note your navigation may look like this,and select new project,enter the project name and the customer,the project is for if you don't see your,customer here you can add them,when you're finished select save,now your project is set up and ready to,go,there's no info in here yet but that,will change as you assign income and,expenses to your project,to assign income,just select the project in the customer,field when you invoice for your project,fill out the rest of the fields like you,normally would you can also do this for,an estimate and then convert it to an,invoice,note that if you've marked any expenses,as billable for the project which we'll,go over shortly they'll appear here,you can easily add them to your invoice,when you save you'll notice your invoice,now counts as income for your project,there are a couple of ways to assign,costs to a project,if you have your bank connected to,quickbooks just go to your transactions,and when you see one that should be,assigned your project open it then,choose the project in the customer field,if this is a billable expense then just,select this box,the other ways to assign costs are when,you record a bill a check or create a,manual expense,when you record any of these items you,just choose the project in the customer,project field when you record it in,quickbooks,this example was a bill from a,contractor but the process is similar,for a check or an expense,if you want more details there are,videos at the end of this video on how,to create bills checks or expenses in,quickbooks,once you save you can see quickbooks,adds your new expenses to your project,these numbers will continue to update as,you add more income and expense to your,projects,you can also track the hourly costs for,your employees who work on the project,adding hourly costs for employees to,projects is a bit different depending on,whether or not you have quickbooks,payroll,if you're using quickbooks payroll then,you just need to assign the project time,to your employee in their weekly,timesheet or you can enter a single time,activity if you don't use timesheets,when you enter these you won't see your,costs reflected in your project until,you run your next payroll,then your project costs will,automatically update,if you don't use quickbooks payroll,you'll need to add in your employees who,work on your project and their work,manually go to the projects page and,select hourly cost rate,if you don't see your employee listed,then select add employee,enter their name and save,enter the rate you want to use for the,pr

the chart of accounts is a list of all,your company's accounts and balances,quickbooks uses this list to organize,your transactions on your reports and,tax forms,your chart of accounts also organizes,your transactions so you know how much,money you have and owe in each account,much like your financial statements your,chart of accounts is divided up into,different sections,let's take a look at the chart of,accounts by clicking on accounting and,chart of accounts,the order of accounts that appear on the,chart of accounts is determined by the,account type the account type also,determines which financial statement it,appears on and how you use it on,transactions,the chart of accounts displays the type,of each account here in the type column,in the first section of the chart of,accounts you see scrolling down there,are also liability accounts and equity,accounts these accounts are organized in,the same order,scrolling down further we also see,income cost of sales and expense,accounts these accounts appear in the,exact same order as the profit and when,you wish to create a new account scroll,to the top of the chart of accounts and,click new the very first thing,quickbooks asks you to enter is the,account type account type determines if,the account appears on the balance sheet,or profit and loss statement,at the top are the balance sheet,accounts followed by the profit and loss,statement accounts,to set up a new account all you have to,do is set up the type of account you,want to create and then choose a detail,type the detail type does not determine,how the account is used or how it's,displayed on a financial statement it's,merely more information that you enter,into quickbooks as a kind of description,in this example we added a savings,account by connecting to your bank,quickbooks automatically creates the,correct savings account under cash and,cash equivalence account type in your,chart of accounts,then enter a name for the account you,are creating up here at the top right in,this case quickbooks has entered savings,but we can still update the name of this,account if we need to,quickbooks also gives you a separate,description field and you can make an,account a sub account of another account,there is a field to indicate the default,tax code for this account,finally if you're entering an account,that appears on the balance sheet you,can,now the new account appears on the chart,of accounts and you can use it just like,any other account,let's say we take out a small business,loan which will affect the cash account,because it is going to be increased now,you know how to set up your own chart,you

there's quickbooks online training,course in this lesson we're going to,cover how to manually enter banking,transactions and quickbooks online to,follow along with me,login to your quickbooks online account,now or click the link below for a free,30-day trial of quickbooks online you,can also click this link to access our,full quickbooks online course and other,helpful resources let's get started,the most efficient way to import your,banking transactions into quickbooks is,by automatically connecting your bank,account to quickbooks or importing your,banking transactions from an excel csv,file click here to view instructions on,how to import your banking transactions,if you are unable to do this because,your financial institution is a smaller,bank that does not offer either of these,options you will need to manually enter,your banking transactions into,QuickBooks before you can manually enter,your making transactions into QuickBooks,you need to setup the bank account to,start navigate to the chart of accounts,list by clicking on the gear icon,located to the left of your company name,below the your company column select,chart of accounts the chart of accounts,will display on this screen we want to,go ahead and click the new button over,to the right and these are the fields,that we need to complete to set up a new,account category type all checking money,market and savings accounts that you,connect to QuickBooks will fall into the,bank category here detail type this,field allows you to select the type of,bank account that you are setting up so,we'll go ahead and select checking our,options here our cash on hand checking,money market rent held for trust savings,and trust account in the name field this,is how it's going to display the name of,the account in QuickBooks I recommend,that when you indicate the name here in,this field you want to include the last,four digits of the account number as,well this will help you to easily,distinguish accounts when writing checks,and reconciling and we will copy this,name information also to the description,field,the balance field is probably the most,important field in this setup be sure,that you have a copy of your bank,statement handy in order for you to,successfully reconcile your bank,accounts you need to indicate the ending,balance on your bank statement here the,bank statement that you use will be,determined by the date that you start,using QuickBooks for example if you,start using QuickBooks as of January 1st,then you want to use an ending balance,on your december bank statements when,you set up your bank account in,quickbooks the as of date is going to,have the same date as a bank statement,that you used for the balance,information once you have verified all,the information is accurate you want to,go ahead and save and close,once we do that the new account will,appear on the chart of accounts list on,the next screen now that we're back at,our chart of accounts here is the,account that we just set up and w
