hi folks i'm hector garcia cpa and,advanced quickbooks pro advisor and in,this video which is almost four hours,long,i'm releasing day one it's eight,sections but it's day one of a,multi-part quickbooks desktop training,series that i have this actually mimics,a,full day of training that i used to,teach in live environments in my office,here in miami and now i have this,recorded so you can watch them in my,virtual courses this is actually part of,the paid course that i'm releasing into,youtube so if you want to learn more you,can click on the link that's in the,description and you can access the,intermediate section of this course day,two that actually helps you get even,certified as a quickbooks desktop,certified user and gives you access to,the construction accounting mini course,for people that have,businesses in construction or,contracting i also have my super,advanced series on manufacturing and,inventory which is for companies that,are of course manufacturing wholesale,e-commerce that need to learn how to,track their inventory in quickbooks so,those are available i'll put a link in,the description to that because i am,releasing,the an entire piece of a paid program,this video might not be in youtube for,long so make sure that you bookmark this,page and i'm pretty sure that because,it's four hours long you go back and,watch this over the next couple of days,that's okay in the description i'm also,going to put the links of the sections,if you want to skip straight to the,sections if you don't happen to be able,to watch,the entire video in one sitting youtube,is probably gonna run ads on this video,because of the length of it so just be,patient i'm pretty sure the video will,be worth its while the other important,thing i want to say,about this video is the fact that i,mentioned quite a bit,something called the quickbooks missing,manual 2016. and the reason why that's,an old number it sounds like an old,number is because 2016 was the last year,that intuit quickbooks released a free,manual,to the public it's actually an 800 page,manual available in pdf available for,free i will put a link in the,description to that as well so if you're,going to follow along maybe in two,screens and also have the printed manual,or the pdf,version of the manual you can use that i,know you're probably using a newer,version than quickbooks 2016. the good,news is that in the world of quickbooks,desktop 2016 17 18 19 20 21 22 and,probably 23 they all look exactly the,same and every single piece of this,course is a hundred percent relevant,today as a matter of fact for the people,that purchase the course on my website,every time there's a new change i add,more videos or more content uh basically,talking to those changes so you can be,up to date for that but i guarantee you,that this video will be really really,valuable unto itself so again even,though the video was recorded a couple,years ago and i referred to the,quickbooks desktop missing manual 2016,if you have any v

welcome to this quickbooks desktop,accounts payable tutorial 2021 and,understanding accounts payable in,quickbooks desktop my name is matt,holdquist with the quickbooks university,uh before we get started want to make,sure you check out the quickbooks,university at cubieuniversity.org,got a lot of great stuff over there a,lot of great training,check it out also stick around to the,end of this video i'm going to also talk,about the two biggest mistakes,most,quickbooks users make when,using accounts payable in quickbooks,okay you don't want to miss those all,right so let's get started here we're on,the home screen and let's talk a little,bit first about what is accounts payable,accounts payable,is uh basically just means money you owe,to vendors all right or others okay so,for example you get a telephone bill and,that is an accounts payable you owe that,money to the phone company you get a,bill from a supplier that is an accounts,payable and you're going to pay it at a,later date now accounts payable is not,when you go to the gas station and use,your debit card,to,buy gas all right because you don't owe,that money you paid for it when you,bought the gas so it's only when you get,a bill that you're going to owe,later all right so again go to staples,office supply store use your debit card,or a credit card that is not an accounts,payable,that is something you paid for at the,time of the transaction okay so again,only money that you owe to a vendor or,somebody else later on okay so first of,all there's really two steps to,understanding accounts payable first you,have to enter your bills that you get,and then second you have to pay those,bills so i'm going to walk through those,and show you how to do each of those,steps the first one is you enter a bill,all right so you get a bill and this is,very very important to do in quickbooks,because a lot of times people will not,enter their bills and they'll just keep,like a folder or something on their desk,of all the bills they have to pay,and it becomes cluttered you don't know,what is due when,it's time consuming quickbooks will,really help keep all this in order and,automate it okay so first of all you're,going to see here you're going to see an,icon that says enter bills all right so,we'll take an example you get a bill,in the mail online whatever it is you,get an email and you've got to go and,enter this bill in quickbooks all right,so if you look here it's pretty,straightforward you want to make sure,this is checked and it should default to,this for a bill,and you get the vendor so we're going to,input a vendor here we'll say wheeler's,tile,all right so in this sample company file,there's an open purchase order we're,going to say no,all right so wheeler's tile,and you put in the date okay it's going,to default to today's date and you want,to make sure you put in the bill date,all right so let's say that this bill,date was,december 5th,reference number is going to be the bill,number so if there's an invo

welcome to this quickbooks 2021 desktop,tutorial for beginners on how to,understand,your chart of accounts okay my name is,matt hulk with the quickbooks university,thanks for joining me first things first,hey if you like this video please give,it a thumbs up,also subscribe to the channel i'm trying,to build these subscribers the more,subscribers i get the more i get these,videos out and i think they really do,help,a lot of people whether you're a,bookkeeper a business owner,somebody else that uses quickbooks a lot,of people that we help out also head,over to the quickbooks university at,qbuniversity.org you can sign up for a,couple of free videos over there where i,talk about the three biggest mistakes,that most people make in their,quickbooks uh files and the ways you can,avoid them all right so let's get,started one of the biggest questions i,get,in quickbooks is what is the chart of,accounts what's it made up of why do i,need this etc so this goes back kind of,the core to the core of accounting and,accounting basics now quickbooks is,great because it really hides the fact,that you're doing accounting you know so,when you enter a bill when you do an,invoice when you,you know make a deposit whatever you do,and you do it in quickbooks accounting,is kind of done behind the scenes so,you're really not,seeing the,the underlying accounting that's,happening but there are some core things,that really helps you understand what's,going on in quickbooks uh so that you,get you know if you have a basic,understanding of some of these,accounting concepts you're really going,to understand more fully understand,where these things are being recorded,you know so instead of just saying okay,well i'm going to enter a bill and,that's it and i pay it well what does,that do okay so,you know if you enter a bill that,increases your accounts payable it may,increase your expenses and a lot of,times when when our clients they go to,the bank and you know they're trying to,get financing maybe a line of credit it,really helps to understand your,financial statements and so,understanding the chart of accounts is,really going to help you understand the,foundation of accounting okay,so a chart of accounts in accounting,we're going to go to it right here we're,on the home screen we go to the company,drop drop-down menu you're going to see,this option down here chart of accounts,so when you start a chart of accounts or,let's say you start a new quickbooks,company file your chart of accounts you,you can choose an industry and say okay,i'm in this industry it's going to give,you a very basic chart of accounts,and the chart of accounts is just a,listing of all the accounts that you're,going to use in quickbooks okay so you,can see here you've got your bank,accounts you've got,you know with these other current assets,we'll talk about that in just a second,fixed assets liabilities etc and then,you have all your income and expenses,all right so it's just a listing of,everything so if you

stop doing this when you receive,payments in quickbooks desktop hey,everyone my name is matt hulk with the,quickbooks university first things first,if this video is helpful please give it,a thumbs up uh also subscribe to the,channel i sure would appreciate that,also head over to the quickbooks,university sign up for the free master,class over there and i'm going to show,you the top three mistakes that pretty,much every quickbooks user makes okay so,this video,uh you know stop doing this when you,receive payments in quickbooks i got,this question no less than five times,this past week of people that said hey,i've got you know,50 entries in this undeposited funds,account but we have already shown the,deposits in the bank account and we have,already reconciled our accounts what do,i do how do i clear these out of here so,this video is not about,how to clear that out of here i've got,another video on the channel,about that and how to clear those out,this is about how to avoid that on the,front end so here's what typically,happens,so we're here on the quickbooks home,screen and you might receive a payment,from a customer so what we're going to,do we're going to go to customers and,we're going to save receive payments so,let's say you get,you know i don't know a check or a,credit card or whatever it is and you've,got to apply it to,an invoice and so you're going to go in,here and you're going to say okay,customer payment we issue this invoice,to this customer they paid by check,let's say so we choose check and we we,choose the customer,that we're going to get payment from so,we say this was christy abercrombie and,she paid us,a,check for 225,okay so we check it off here we say 225,bucks total it just automatically fills,the payment amount we say check number,55487 you know,okay so we have the total amount due 225,bucks applied 225 bucks and we say great,now we got that money and we hit save,and close,and we're done,so now typically what happens is then,people will go to the bank and they will,make a deposit,and whether it's a remote deposit it's a,mobile deposit or they physically go to,the bank they will go deposit this 225,and what they do,is they will go to,typically to the check register,so they'll go up here and they'll say,okay let's go to the check register,and they're going to say checking,and they're going to say you know what,on december 15 2023,i went to the bank and i made a deposit,payee there's no payee since we're,making a deposit and they say,225 bucks and they're going to say well,now what account do i put this to so,they're going to say well this is,actually income because this was a you,know income from a customer so we're,going to say this they're going to pick,something they'll say materials income,and 225 bucks and so that gets put into,the register right here,so now what has happened is they have,duplicated,the revenue from this 225 let me explain,this,first of all when they created the,invoice on an accrual basis they they,show

welcome to this quickbooks desktop,accounts receivable tutorial 2021,understanding accounts receivable in,quickbooks desktop my name is matt,hallquist with the quickbooks university,and welcome back for another video on,how to use quickbooks uh before we get,started a couple things hey head over to,the quickbooks university at,qbuniversity.org,got a lot of great stuff over there to,help you avoid making some of the most,common mistakes in quickbooks also like,this video,share it like it,and also subscribe to my channels as i,come out with videos every single week,all right so let's talk about accounts,receivable in quickbooks first thing you,got to understand is what accounts,receivable is,accounts receivable is if you invoice a,customer and you expect them to pay at a,later date,that is an invoice and that creates,what's called accounts receivable it,just means you have customers that owe,you money and you got to track that,somehow on your financial statements and,accounts receivable is the account that,this goes into so whenever you do an,invoice it increases accounts receivable,so we're going to walk through some of,that process in this video,so first of all here we are at the home,screen and we're going to you know take,an example let's say that,you just did some work for somebody and,you have to bill them you have to send,them an invoice the first thing you're,going to do,is you're going to go here and you're,going to say create invoices,okay pretty straightforward brings up,the form brings up the invoice form,you're going to select your customer now,this is a sample file so,we'll see there's already names there's,already different jobs in here so we got,this utility shed we're going to skip,the class,and we are going to say that we are,charging for blueprints okay so we did,some blueprints for this customer uh,jeanette mameo and we need to bill her,for this so we're gonna say one set of,blueprints and we're gonna say that it,was a thousand dollars okay so,when i click save and close or save and,do it's going to save this as a,an invoice that jeanette mameo owes the,company this will in turn increase,accounts receivable meaning that she,owes us this money okay so we're going,to click just save and close,and it's going to ask it's saying you,don't have a class we're going to hit,save anyway,so now,that's all we had to do we created this,invoice you can email that invoice you,can mail that invoice you can send it,multiple ways to the customer so that,they get it and can can pay it now,the next part of this is when they pay,this invoice how do you record this well,let's take an example that they send you,a check,or they could send you a credit card,number and you charge it,whatever the case may be but they send,you some form of payment so this is,where a lot of people mess up when they,are dealing with accounts receivable in,quickbooks is they will just go to,uh,customers make deposits or they'll go to,the register they'll record the payment,bu
