in this video we're going to talk about,setting a default currency for a,customer,now before we get into it I need to do a,little bit of a Backtrack on how,multi-currency is used and what use,cases this would be beneficial for,firstly,um there's a couple of ways to generate,sales orders in Katana basically two,ways one way is to import it through an,integration,the second way is to create it manually,now creating a sales order through an,integration means that the sales order,is going to originate elsewhere so if,you have a website that sells in a,foreign currency the sales order will be,imported into katana,and it will use the currency that it,sold on since the customer bought it,from a website for example and when it,flows in it will automatically convert,whatever they paid at the current,exchange rate,so in that case you can't really do,anything about it because the sale was,already made,but if you want to sell your products,through some general process where,currency conversion is important and,selling to a customer in their currency,is important then that's when this,becomes quite handy,so firstly,um why what makes it handy is that if,you want to sell in a different Market,and selling in the local currency of,that market you'll need to always make,sure that you understand that you're,selling at the correct margin in order,for you to make money if you're using,out of date exchange rates or you're not,using exchange rates at all then you,could have a serious problem with,respect to uh how you're making money,you might be actually losing money,so Katana is always going to make sure,that when you set a default currency for,a customer that anytime you generate a,sales order for that customer you'll be,able to get the correct price in that,customer's currency,every time to make sure that you're,making money at the most recent or,latest exchange rate,so to do so what I would be needing to,do to set this up is I would go into my,contacts list and I'll choose a client,here which I have named customer,and I'm going to change their currency,from our base currency into something,else so if this customer is based in,Australia I would sell to them in,Australian dollars now I'm no expert I,don't know what the exchange rate is,between Australian dollars and Euros,which I'm tracking so I need to figure,out how best to go around that and,that's how I use katana's automation to,facilitate,now if this customer is buying from me,and let's say we're working with a sales,order,we put in their name,customer,right now I'm going to make a quote as a,starting point then you're going to get,a warning that says the selected,customer is using different currency,Australian dollars than the currently,used currency which we have in Katana,Euros would we like to change the,currency of the sales order,for the customer's set default currency,and the answer in this case would be yes,if you don't wish to then of course you,don't have to but I'm going to choose,change currency an

so in this video we're going to do a,demo of how the Integrations for,accounting work with multi-currency,so for example if you make a sales order,in a different currency than your base,then you can issue an invoice how does,that work with the currency conversion,rates secondly for purchase orders when,you write a bill against your accounting,program how does that work with respect,to currency conversion rates on items,that you're buying,so for example before we get started on,this uh I want to say that this is only,going to work with the two native,accounting Integrations that we,currently support which is QuickBooks,and xero and also before you get started,it's an absolute must that your,QuickBooks count or xero account are in,the exact same base currency,as your Katana account,this is because you are doing costing,based on a base currency which is also,the same way you track your money uh in,your accounting program so those two,have to match because those do actually,both have designate designated base,currencies,so in order to do this make sure that,those are sorted and then you can start,the connection process in our example,today I'm going to be focusing only on,QuickBooks but the xero integration,works exactly the same,so to get started we'll go ahead and,connect on the integration page our,QuickBooks account,and I will do all of the connection,steps,okay continue continue and we are good,so now our QuickBooks account is,connected so on this uh Katana account,I'm using Euros as the base currency and,our QuickBooks account is also using,Euros as the base currency,so in order to do this from the selling,perspective let's go ahead and make a,new sales order,and we will do it like so put a test,customer here,well make a new one like that,and this customer will be buying let's,say our coffee table,brown one,now as you can see the base currency is,in Euros the default,price is 540 Euros but they're going to,pay us in US dollars,now over here to the right like we've,discussed already you have this floating,conversion rate that's not currently,fixed and the way you fix a conversion,rate on a sales order is by either,creating an invoice for it or marking,the sales order as packed and then that,will lock the fixed conversion rate for,that currency in that situation,so once we've done this we've made the,sales order all good we're going to go,ahead and make the invoice and that will,actually fix the conversion rate,so we'll choose create invoice through,our QuickBooks integration and this will,send the invoice over into the,QuickBooks account,so just like so and then that will,become a link which you can click on and,then you can see all the information and,here you'll see that the converted total,in Euros is 648.,and this is the currency conversion rate,0.94 from US dollars,if we open up the QuickBooks invoice,then it will take us into the QuickBooks,account where we can see the details,related to that invoice here,and you can also notice that this

in this video tutorial series we're,going to cover katana's barcode feature,so barcode feature is available on the,advanced and above subscription plans so,in case you're on an Essentials plan you,won't have access to the settings you'll,need to upgrade to do an upgrade you'll,go to the top right corner go to,subscription and then activate an,advanced subscription plan either on,monthly or annual there's also a trial,involved so you can give it a shot just,to see how it works,once you've done so the barcode section,on the left will have some available,settings here with toggle switches to,turn on and off,and that's how you know it's working,so,the details of what this video tutorial,series will cover is it's intended to,help new customers who've never dealt,with barcodes before,help them get started get their feet,planted in the ground so they can start,to use barcodes within their business,for the first time,so we're going to take it very slow,going from the very high level and,drilling down on how barcodes work,within the workflows now if you are also,coming from a pre-existing platform,where barcodes have been used and you,already have like labels of barcodes on,all of your inventory you're going to,want to know how do I get that,information into Katana so I could start,using it we're going to cover that as,well,so,without further Ado we can go ahead and,get started the first thing I want to,talk about is what is a barcode,a barcode is the zebra stripes that you,see on any product that you buy in a,grocery store it's super simple,you take the items you put them in your,cart you load them on the Belt when you,get to the cash register they go through,a scanner people,and then that beep that you hear makes,them visible on a screen which you're,looking at which references the item and,the price,and then beep beep beep,you're done in about 30 seconds for half,a dozen items and then you swipe your,card and off you go out the door,if we didn't have barcode scanning,available then it would take a really,long time to ring things up and pay for,them,because what this does is it actually,makes it quicker,to scan an item reference it and then,get you out the door in a more efficient,and quick Manner and this is where,barcodes come into play and help you do,a business activity in a much quicker,way,saves money and increases productivity,so for example,that's a grocery store setting now you,as a manufacturer how do you use,barcodes to improve the quality of life,for data entry with respect to the items,that are moving in and out of your,inventory,well Katana supports four types of,barcodes and within a supply chain you,always have somebody who supplies you,then there's yourself and then there's,somebody you're selling to,and you typically as a manufacturer are,going to be in the middle of that,somehow,and um the question is is how do you,work with barcodes as a manufacturer,so firstly anybody who supplies items to,you,will likely have barcodes on the,produc

so now that we've already covered the,case where if you've already got,pre-existing barcodes on all your items,that's great but what if you are coming,in fresh to Katana and you've never used,barcodes before well I already mentioned,that you can activate Auto generate,barcodes from the barcode setting here,where generate barcodes automatically is,listed now as I mentioned is that when,you turn this on the first time,uh if you turn it on it will,automatically generate internal barcodes,for existing items this first check box,basically will say that,if you've got items that have barcodes,then it'll just add,new barcode numbers to every single item,that doesn't have barcodes associated,with them,so what's really important is that if,you want to ensure,that barcodes are always going to be,unique,the first thing that you would do is,bring in your data that pre-exists,from the last system you were using and,then if there is some sort of items in,your Katana account that don't have,barcodes on them then you can turn this,on,so first thing is to get your data up to,date in katana's system and then,activate automatically generate internal,barcodes for existing items that's why,that first checkbox exists,um and then from that point forward any,item that you add will automatically get,a barcode generated for it no questions,asked and it'll be unique you can print,it out label it and it will be always,referenced internally for your team to,use,now if for example if for some reason,you want to overwrite your existing or,pre-existing barcodes you can do that by,turning on that tick,so first I'll just show you how it looks,um,by creating them first I'll cancel it,you can see that at the moment,um my items don't majority of my items,don't have any internal barcodes,and the same would also apply for my,batches here,like so,let's go ahead and activate that setting,and I'll show you what it looks like,and once this is done,it'll just automatically turn them on,and then give those items all a unique,barcode number and here we go here's the,internal barcode so now all of these,have been filled out you can see it's a,kind of a sequential order and every,single item products and materials,will have its own unique internal,barcode as a result of turning on that,setting,this also means that anytime you add a,new product or a new material that,barcode will be automatically generated,just as well,now here on the batches menu you can see,that there are also unique barcodes for,every batch that has been created so,whenever we start printing out labels,for our batch numbers we'll have a batch,barcode that will reference the,associated batch number as a unique,identifier,so this is a very very helpful and,useful tool whenever you are wanting to,get your data in first and then carry it,forward or if you're just starting to,use it for the very very first time and,have never had barcodes before the main,goal of this is that once these barcodes,are automatically generated it the i

in this video we're going to show you,how to set a default currency for a,supplier now anytime you're buying,material or let's say product from an,overseas supplier chances are they're,going to quote you in their local,currency and it's also probably,important for you to understand how much,something costs based on what they're,quoting it for so for example if we're,looking at say our materials,of paint,when we're being quoted for brown paint,we expect it to be about eight euros,but that doesn't necessarily mean much,to us if we don't know how much it's,going to cost with respect to the,currency we're buying it in,so this multi-currency feature for,setting a default currency for suppliers,comes in quite handy when you're,actually seeing the quotes on the items,that you're buying in,so as a simple overview what happens,when you buy an item in a different,currency you'll buy it in the currency,that your supplier quotes you at,whenever you purchase it in it will be,converted and then it will become a cost,in your presently base currency and so,getting that costing correct with your,suppliers can be tricky and that's how,this feature helps,so a couple things I want you to note,here is we have an item card open for,paint and we have a default supplier,which is called paint supplier,and we have the supplier a currency,listed here in Euros but if we're buying,that paint from let's say the uh United,States we're going to probably pay in US,dollars,and this is where this comes in handy,these are presently our default purchase,prices more or less the budgeted cost,that we intend to spend on these,different paints so we'll always have a,general idea of if we're above or below,our costs once we know how much we're,paying for those items so I'll show you,how this looks,you go into your contacts list very much,in the same way you did with setting a,default currency for a customer but,instead you choose supplier and for,paint suppliers we have here you'll,change the currency to USD from this,list down below,and there it is,now it's going to come up with a little,warning which is kind of confusing when,you first look at it but when it comes,to the way that Katana is working is,that,every single item card will have a,default purchase price that by default,is what appears on a PO whenever you,make a PO right,now there's a slight catch,any item,item card like our paint,that has a default supplier,will then now convert the default,purchase price from your base currency,to the default supplier currency so the,cost will appear in a different currency,other than the one that you have set on,your Katana account,but this is totally acceptable what's,going what you're going to see is you're,going to see that your default purchase,price has been converted,to the price that you're actually paying,for when you do a currency conversion,from what you're what you're buying it,at to what your supplier's currency is,so it's going to ask you do you want to,convert those prices bas

so in this video I'm going to cover what,it's like to use,multi-currency with an e-commerce,integration,now,what I've done to make this work out is,using our example Katana account I've,changed the base currency from Euros to,US dollars and I'll be using it with a,Euro Shopify account,now I won't be showing you any of the,details with our other native,Integrations like woocommerce or,Bigcommerce in this video I'll be using,only Shopify as a demo but both of these,also work the same as Shopify does,so once you hook up to an e-commerce,Solution that's natively supported with,katana then it will import your sales,orders and then do the currency,conversion from what you have on your,storefront Ecommerce solution,to what you're using in your Katana base,so if for example my company was based,in the United States but I was selling,through an e-commerce channel in Euros,inside of Europe then that would be what,I need to account for when I'm receiving,my sales orders,so now that my base currency has changed,we will now go ahead and connect to our,Shopify integration now remember the,base currency which I've already,mentioned is currently not locked so,what I had to do is I had to delete my,sales orders and purchase orders and,change the currency of my default,currency of my customers and suppliers,back to the base currency of my Katana,account in order for me to switch over,the base currency to US dollars from,what it was before because prior to that,it was locked,so it's going to get locked again,because I'm connecting e-commerce,solution so I'll show you that after we,get connected so let's go to the,integration page go to Shopify put in,the store name,and this will be our coffee shop,and then start the connection flow,so we'll ask if it wants to install the,app,once we're installed,we'll go through all of the basic,settings here import the orders Etc,synchronized stuff and it's fine it's,not a big deal,so now it's going to be importing all of,my items it doesn't have any open orders,so pretty simple,not really a big problem here,okay so that's it it's pretty easy now,the first thing I'm going to do is I,just want to make it very clear that,what will happen is sales orders will,flow in from Shopify in euros,but we'll convert to US Dollars and um,so let's go ahead and make a sales order,and see how it works,so to do so we'll need to,get started with a order,let's go ahead and do some of our coffee,products that we have,so this is 7.5 Euros this is what the,customer would be paying us,we'll add it to the order we'll go ahead,and put,one of our customers like so,and that's it it's pretty simple so,basically when the sales order comes in,into our Katana account,it will do so once we mark this one as,page so we'll collect we'll mark as a,collected payment and we'll just choose,Mark as paid,and then once that is done and processed,we'll create the order seven dollars and,fifty cents will come in as a US dollar,order in katana,Okay cool so now we should have

so after the process of setting up all,of your products and materials has been,completed,and all of your recipes and operations,have been imported or created for your,products,the next step is all about getting your,stock sorted,so before you can actually go live with,katana as a platform,everything comes down to,getting your stock counts up to date,before you start doing everything else,that katana is designed to do,now prior to even kicking off katana in,general,there will be,other things you might need to do as,well such as,connecting your ecommerce stores or,finishing building out your integrations,or whatever it is that you might need,those types of things might have to be,be done as well prior to going live but,the very most basic thing that has to be,dealt with,before going live with katana and using,it regularly,is your final stock take,and so the final stock take is something,we will get into when we go through the,full getting started guide and getting,your data into katana,but,most importantly is we're going to cover,uh,the stock related items in this video,series which we'll talk specifically,about everything that's related to stock,so let's go ahead and,get give a quick refresher on,stock in general,and,the best place to start off with this is,the settings page,under,the locations category,now remember,if your business,runs,in multiple places,then you're going to have stock,in multiple places where it's needed to,be tracked,and,to really unlock a lot of the stock,functions and capabilities,adding locations which will create,additional stock locations,additional manufacturing locations,additional sales locations,is something that we can do here,and,for the sake of this video series we'll,go ahead and make a secondary location,and our secondary location we will call,it fulfillment,add a legal name if you wish um,also an address we will skip that for,the time being,i will remove,the make option,and i'll keep the buy option activated,there are some cases that i might sell a,product that i am reselling but i send,it to my fulfillment location prior to,dispatch,even if i order directly from a supplier,so that could be a general use case,so what is this doing it's adding two,locations for stock in our katana,account,and,we'll do this first,and head on over to the stock screen,where,new things are starting to appear,now the stock screen,has,these additional tabs up here,including stock adjustments and stock,transfers,and we'll talk more about those as we,get deeper into the series,but most important thing,is let's go ahead and talk about what,we're seeing in front of us on this,stock screen,now,stock in general what is it,stock is,uh,the relation of quantities of items that,you have available in your inventory,is the most basic understanding,if you have something in your pantry you,have something in stock,you're keeping it in stock more or less,and you always are using this all in,everyday life you know you walk into the,kitchen you open up
